The sixteenth annual HUG conference will be held at the Walt Disney World Coronado Springs Resort between May 23, 2004 and May 28, 2004. The theme of this conference is “Sweet Sixteen, License to Drive”. We chose this theme in order to showcase how, with our cooperation, the SunGard HTE software license can allow us all to “drive” our governments to remain competitive, be more creative and offer our constituents increased service in these difficult financial times. The Sweet Sixteen portion of the theme acknowledges the hard work of all of our past and current members that have made it possible for us to produce this conference for sixteen years.
During our annual conference, we will have an increased number of both labs and user-lead sessions. The lab sessions will give participants hands-on instruction on a variety of interesting subjects. Everyday users will present numerous sessions on “real-world” applications of the HTE software. Some of these sessions will provide the participant a unique way to solve a particular problem. Other user-lead sessions will show alternative solutions to common situations. In any case, the participant in any of these classes will take home some practical knowledge that can be applied quickly to drive their agency to success.
The advance registration fee for members for this year’s conference is $375.00. We believe this is a good value for our members, given the increased resources that will be provided this year.
As the location of the conference is so close to the headquarters of SunGard HTE, conference participants will have unparalleled access to the company personnel. There will be a greater opportunity this year to put faces to the name you speak to via email or on the telephone. Also, there will be opportunities for tours of HTE’s corporate facilities.
In addition to the learning opportunities, we will be offering several networking events such as an onsite amateur/karaoke night, the HTE/HUG golf outing, the HTE reception and an event at Walt Disney’s Pleasure Island.
For specific details, check the conference section of our website. http://www.huginc.org/Conference2004/conf2004.html
Again, I hope you join us for a magical experience in Orlando Florida from May 23, 2004 to May 28, 2004.
Shelley Carmichael, HUG Treasurer

As you know, the Enhancement Request (ER) process is in full swing now and I trust you have been thinking about changes you would like HTE to make to your product software. Well, now is the time. Keep in mind, this is a great opportunity for your voice to be heard. Take advantage of what HTE and your HUG organization has in place “for you” the ER process. As members, this is your organization, not just the HUG Board’s, so be a part of the team and let the process work for you. We have some very excited and willing “user” volunteers performing the task of your Application Coordinator (AC). They will review your ER and make recommendations to HTE’s Technical Staff; the AC may even get back to you personally to address any questions they might have. In order to enter an ER you will need to go into MyHTE.
Finally, your time lines - these are the key to our success, and I suggest you put these dates on your calendars. ER process is now open, as you know. The ER entry site will be closed on 2/20/04 @ 5:00pm EST. Member voting will be from 3/1/2004 -3/16/04 @ 5:00pm EST.

After receiving numerous suggestions for access to information on what cities have which applications, HUG has launched the new on line member database. This new service allows the HUG contact for each agency to access the database via the HUG web site (www.huginc.org) and update information about their agency. In addition to basic agency contact information, you can list the major application areas that your city uses (like Utilities, Public Safety, etc). The HUG contact person can also add all of the HTE users at their agency to the database. Once this is done, each user can assign themselves their own user ID and password to access the database and all of the other HUG “members only” functions provided through the web site. After you assign yourself an ID and password, please update your personal interest profile. This is where you tell the database which applications you use and what your level of proficiency is (be honest, not modest). As soon as most of us have updated our profile and areas of interest, we will all have a very valuable tool, because the database allows any member in it to run real time reports and get a list of all the other users that have the interest profile criteria you’re looking for. What’s more, it provides contact information so you can reach them directly.
If you haven’t assigned your ID and updated your interest profile yet, please join us and make this tool even more valuable. Just go to www.huginc.org, click “Members Only”, and then “Member Database”. If you haven’t established your account yet, enter your e-mail address for your ID and click “Send Me My Password”. If you already have an account, sign in, update your “Interests”, and start using those handy agency and user lists, along with the other HUG Members Only services. If the service responds and says it can’t register you, it probably means that your HUG contact person hasn’t entered you in the database as a user. If that’s the case, you need to go build a fire under their chair and tell them how important it is for you and the rest of the users at your agency to have access to these tools. If you don’t know who your HUG contact is or you encounter any difficulties, contact us via the web page and we will help you out. If you or your HUG contact person needs instructions on how to accomplish any of this, you can request those, or better yet, come to the HUG conference and attend one of the sessions or labs on it.

It's time now to think about volunteering at the 2004 HUG Conference in Orlando. The HUG Board of Directors are seeking volunteers who are willing to devote a small portion of their time during the conference to ensure the conference is as well-organized and meaningful for everyone. This year we have expanded the hours of registration. The HUG Board relies on volunteers to help us with registration and other tasks during the annual conference.
Volunteers are still needed, especially on Sunday and Monday and to help with the election process during the business luncheon on Thursday. If you are interested in serving as a volunteer, please go to the HUG web site at http://www.huginc.org/. Click on Annual Conference, and then the "Volunteers Needed" icon. After you have completed the form, click on "Submit Volunteer Form". Or, send me an e-mail advising when you would be available during the conference.
If you have any questions, please contact Robert Girndt at rgirndt@ci.mocity.tx.us. Or, you may call him at (281) 261-4326.
